Introduction
To provide our customers and partners with the opportunity to test configuration changes or new Workspace 365 features before they are implemented in production, we offer a dedicated “Acceptance” environment based on a monthly subscription.
This environment is built on the latest “Production” release and updated with the latest “Release Candidate” which includes additions, fixes and improvements for the upcoming release. In terms of software, we release Workspace 365 in stages. This “Acceptance” environment is part of the final stage, before we officially release a new version to “Production”.

Terms and conditions
The “Acceptance” environment is covered by our existing data-processing agreement. These terms and conditions are an addition to cover conditions specific to this environment. By accepting these additional terms and conditions, you agree to have read and recognize the terms and conditions listed below;
As a customer (or partner), I accept the following costs to be billed on my account:
One time initiation fee of €265.00 (includes one backup from your production environment*).
Fixed monthly fee of €105.00 (until Workspace 365 receives an official notice of cancellation or the overarching contract with Workspace 365 ends).
As a customer (or partner), I do not have control, nor a say in when an update is scheduled or released on “Acceptance”.
At least two weeks before each release, we will update the “Acceptance” environment with a Release Candidate (RC) of the upcoming release. Because the environment is not mission-critical, the update will be scheduled during business hours and does not have a fixed timeslot. During an update, customers could experience a maximum of 1–2 minutes of downtime.
As a customer (or partner), I understand that there is no dedicated SLA for the “Acceptance” environment. All support on this environment is based on best effort, taking the customer situation into consideration.
When submitting a support ticket, please select “Acceptance” as the environment you register the ticket on.
As a customer (or partner), I understand and accept that the Workspace 365 version on “Acceptance” is not an official release, which means it contains improvements, fixes and new features you might not yet be familiar with.
Bugs found on “Acceptance” can be reported via the existing bug report process on our support portal. Select “Acceptance” as the environment you report the bug on.
As a customer (or partner), I agree to explicitly NOT use the “Acceptance” environment for “Production” purposes.
As a customer (or partner), I agree to a limit of 30 active users on the “Acceptance” environment and take measures to not exceed this number in any way.
Workspace 365 will be monitoring each environment to ensure this condition is met and take action in case this policy isn’t respected.
Customers exceeding this limit will first receive two official warnings. If the policy is still not respected, we will initiate the cancellation procedure by de-activating the environment. Re-enabling can be requested within one month after cancellation via a support ticket. After one month, it is no longer possible to re-enable the environment and a new environment will have to be requested, including the associated cost.
As a customer (or partner), I do not have control over the environment URL provided to me to connect to the “Acceptance” environment.
The URL will always be formatted as https://acceptance.workspace365.net/{productionenvirontmentname}
As a customer (or partner), I have the right to one initial backup and restore from a selected “Production” environment, owned by the customer (or partner)*.
Extra restores will be charged as one hour consultancy per request (for accurate pricing, consult the Product & Service Catalogue).
As a customer (or partner), I can cancel this subscription on a monthly basis.
Workspace 365 does not provide a refund on amounts already paid.
Workspace 365 will deactivate the customer environment as soon as the month, for which payment has already been processed, is over.
Workspace 365 will keep the environment and its data for one month after cancellation, after which it will proceed to remove the deactivated environment and all related customer data.
*Only possible for customers and partners who are hosted on our Workspace 365 hosted environment.
Q&A
Q: Can I have a copy of my “Production” environment on “Acceptance”?
A: Yes, you can. We offer three options;
A clean environment.
A one-time restore from a “Production” environment owned by the customer (or partner) during the initiation of the “Acceptance” environment*.
Additional restores from a "Production" environment owned by the customer (or partner) will be charged as mentioned in the “Terms and Conditions” section above*.
Q: Can I have a scheduled restore of my “Production” environment?
A: No. We can facilitate a refresh of your “Acceptance” environment based on the current state of your “Production” environment, but there will be extra costs associated with that, as stated in the “Terms & conditions”. The “Acceptance” environment is not designed to be in constant sync with your “Production” environment, which means you are responsible for applying important functional configuration changes on both “Production” and “Acceptance”.
Q: Can I use this environment for Production or Proof of Concept activities?
A: No, you cannot. It is strictly prohibited to use the “Acceptance” environment for anything else than testing new functionalities or configuration changes. We cannot be held responsible for loss of data or short periods of downtime. If our monitoring detects abnormal usage, we will contact the customer and shutdown the environment if we suspect illegal activities.
