We’re excited to introduce Workspace 365 v4.23, designed to help you find and manage information easier. This update brings a smarter search experience, an improved Knowledge base layout, and key refinements that your digital workplace even more intuitive.

Manage Global Search categories

Finding the right information just got easier! With more categories available in Global Search, admins now have the ability to organise them into logical groups, improving structure and usability. This is just the beginning, we’re working hard on something big, and we can’t wait to share it with you!

Knowledge base overview

We’ve redesigned the Knowledge base to make it easier to navigate. Now, alongside the sidebar, there is a direct page overview that helps users find content faster.

What does it mean?

  • A new overview page displaying grouped categories.

  • Navigating a category leads to relevant articles or sub-categories.

  • Improved accessibility and usability of the Knowledge base.

Small, but impactful

  • Controlled Hub item Pop ups: Administrators can now control which users are allowed to use the pop-up functionality when publishing an announcement. This prevents distractions and ensures that only relevant announcements are shared via pop-ups. As a result, administrators maintain more control over internal communications.

  • Updated Calendar app design Time slots now have a clearer slot styling for better readability.

  • Improved event distinction: Easily differentiate between all-day, multi-day, and regular events in the Calendar app.

The release of Workspace 365 v4.23.0 will be deployed on 27-03-2024 between 22:00 and 00:00 Central European Time. ​The following will be implemented when this version goes live:

 

Additions

  • Admins can now manage global search categories (which are currently the tabs) from a new "Global Search" page in workspace settings. On this page, admins can arrange the order of categories. In addition, admins can create groups with multiple search categories. Each group appears as a tab in global search, where users can search within the categories, organized into separate sections. Results in each group are ordered by loading speed, with the fastest results shown first. The tabs in global search are now presented as buttons. The defined order and groups also appear on the Advanced Search page, where users can also search within a specific category in a group.

  • Each knowledge base group has its own page displaying direct subgroups and categories as clickable cards. Clicking a group in the Hub sidebar opens its page. A new "Overview" page has been added as the first item in the sidebar, serving as the starting point and showing top-level groups and categories. Additionally, all knowledge base pages, including article detail pages, now include breadcrumbs for easier navigation.

  • In settings, you can now manage permissions for sending direct pop-ups for announcements and events from the "Default Permissions" page. By default, this permission is set to "Allow," meaning anyone who can create announcements or events can also send direct pop-ups. You can adjust this setting to grant users the ability to create announcements or events without allowing them to send direct pop-ups.

Fixes

  • A blank dialog and error alert would appear if a user missed an announcement pop-up after it expired.

  • Clearing the time zone field on the Edit user profile page and saving it would trigger a 500 error.

  • Fixed a typo in the validation message for personal contact removal.

  • Copying a file from "Shared with me" to “My documents” resulted in a 400 error.

  • The search bar and view selector were enabled on the file server page when the configuration was incorrect.

  • The Calendar appointment reminder time was previously displayed only in minutes.

  • The 500 error appeared when opening the Hub item template created by a deleted user.

Improvements

  • In the Calendar app, all-day event cards have a distinct style compared to regular events. The difference is that all-day events do not have a left border.

  • The styling of timeslot labels in the Calendar app, Zermelo, and Magister schedule live tiles have been updated. The text is smaller, and the current timeslot label is bold and uses the primary colour.
