Business case

You can make your own templates for announcements, knowledge articles and events.

Announcements: It can be useful if you make a lot of the same announcements, with the same image and name. For example a webinar or change in the product that comes back every month. Whatever applies to you!

Knowledge base: It can be useful if you make a lot of the same knowledge articles, with the same image and name. For example a knowledge base for HR processes, or an employee guide. Whatever applies to you!

Events: It can be useful if you make a lot of the same events, with the same image and name. For example an monthly update. Whatever applies to you!

See the following example of creating an Announcement. The process is the same for Knowledge articles and Events.

Insert template

So to make a template, click on:


The following screen will be as shown below:


Now you can enter a title, insert an image, video or embed code by choice.

Embed code

You can embed a form within an announcement. This requires the embed code of a Microsoft Forms form.

  1. When editing the announcement, add a Grid element and choose Video, which will allow you to submit an embed code

  2. Copy the embed code of the form

  3. In the embed code, replace "max-height:100vh" to "max-height:100%"

  4. Paste the edited embed code in the Embed code screen of the announcement to embed the form

If you click on the , you can insert all kinds of inputs for your announcement. The options are labeled under 'Elements' or 'Grid'.

It’s also possible to link documents to your announcement. When you click (see picture below), you’ll be taken to a screen showing the cloud documents as well as files from the file server. Select the document you want to attach—you can insert up to ten documents

Extra information:

In each 'grid,' you can select one of the 'elements'. See the image below:

Alternatively, you can select an 'element' without placing it in a 'grid.

You can select any 'grid' or 'element' to change, but not all have the same options.

This is what it means:

  1. You can add an extra 'element

  2. You can change it

  3. You can duplicate it

  4. You can delete it

But this is not all!

You can select the edge of every element or grid.

Sometimes it doesn't register properly, but you really need to press the edge to get these options in order to adjust the position of the element or grid. You will see that the arrows will appear to adjust the position: .

For an empty 'Grid', pressing the edge is also the only way to delete it.

If you select the 'Paragraph' element, you can customize many aspects of the text, such as size, font, bold styling, and much more.

You can also insert a link into the text. Simply select the text you want to turn into a link, click on the link option, and insert the URL.


Once you have saved the template, you can also edit it, rename it, duplicate it, or delete it later. Go to the template you want to change and select the three dots in the top right corner:

After clicking, the options will appear:

Just select the options you want to use; it speaks for itself.
